Prompt Template

I need to create an executive summary for senior decision makers. The source material is a [DOCUMENT_TYPE:select:quarterly report,strategic plan,project proposal,market analysis,financial review,operational assessment,risk assessment,competitive analysis,annual report,investment memo].

The primary audience is [AUDIENCE:select:C-suite executives, board of directors, investors and shareholders, department heads, external stakeholders] who will use this summary to [DECISION_CONTEXT:select:approve budget allocation, decide on strategic direction, evaluate investment opportunity, assess project viability, understand performance trends, make hiring or restructuring decisions].

The time sensitivity is [URGENCY:select:decision needed within 48 hours, standard quarterly review, informational only, crisis response requiring immediate action].

Here is the source content to summarize:

[PASTE_SOURCE_CONTENT]

Additional context the reader needs to know: [ADDITIONAL_CONTEXT?]

Create an executive summary following this structure:

Start with a single headline statement that answers the question the reader walked in with. Do not bury the lead. If you are asking for money, state the amount. If you are recommending a decision, state it clearly. If performance is off track, say so directly.

Follow with a situation overview in two to three sentences that establishes context without repeating information the audience already knows. Assume they are informed about general industry conditions and focus on what is specific to this situation.

Present key findings as three to five bullet points. Each finding must include a specific number, percentage, or date. Pair each data point with its business implication. Avoid findings that do not connect to the decision at hand.

Include a financial impact section only if relevant. Quantify costs, savings, revenue implications, or ROI projections. If the numbers are estimates, state the confidence level or range.

Provide recommendations as concrete next steps. Each recommendation should specify who needs to act, what they need to do, and by when. Flag any resource requirements, dependencies, or risks.

End with a clear ask. State exactly what you need from the reader. If approval is required, specify what is being approved. If the summary is informational, state what action you expect them to take with this information.

Keep the entire summary under 400 words. Use active voice and short sentences. Bold the single most important number or conclusion. Avoid jargon unless it is standard vocabulary for this audience.

About Executive Summary Generator

Most executive summaries get written first, before the author actually knows what the report proves. That's backwards. The summary is supposed to be the one page busy decision-makers read before deciding whether the other 49 pages are worth their time, and a vague draft written before the analysis is finished can't do that job.

Paste your finished document into [PASTE_SOURCE_CONTENT], and add [ADDITIONAL_CONTEXT] if the reader needs background the source document assumes, like why this report exists now. The prompt pulls out the core argument and reorders it so the biggest takeaway leads, followed by supporting evidence, then a clear recommendation, instead of walking the reader through your document in the order you happened to write it.

Keep the summary to 5 to 10 percent of the source length. Go longer than that and it stops functioning as a summary. If the source is a full plan, pair it with the business proposal generator or the competitive analysis generator to strengthen the underlying sections first. Tighten every sentence in Dock Editor until nothing left could be cut.

How to Use Executive Summary Generator

1

Copy the prompt template

Click the copy button above to grab the full executive summary generator prompt. It includes variables for document type, target audience, key findings, and the level of detail appropriate for your readers.

2

Identify your document type and audience

Select the source document type and describe your readers. An executive summary for a board of directors differs from one for a project sponsor. The generator adjusts tone, depth, and emphasis based on who is reading.

3

Provide the key content

Enter your main findings, recommendations, or proposals. Include specific numbers: revenue figures, cost savings, market sizes, or timeline milestones. Executive summaries without data lack credibility with senior audiences.

4

Generate and evaluate

Paste into ChatGPT, Claude, or Gemini using the demo links above. The output follows a proven structure: context, key findings, implications, recommendations, and next steps. Every sentence should advance the reader's understanding.

5

Cut Everything the Decision Does Not Need

Import into Dock Editor and cut anything that does not directly support your core message. Executive summaries should be one to two pages maximum. If a sentence does not help the reader make a decision, remove it.
